Overview

 

The People Experience Events & Comms Supervisor is responsible for overseeing all operational aspects of virtual and in-person events, including planning, setup, execution, and breakdown, ensuring that events are executed seamlessly, meeting organizational standards. This role is also responsible for developing and executing communication strategies that engage employees, strengthen company culture, and ensure clear messaging across all levels of the organization. The supervisor coordinates between various departments, manages staff, and handles logistical challenges to deliver successful events including travel. 

 

Responsibilities

  • Collaborate with stakeholders to understand event requirements and objectives.  
  • Develop detailed event plans, including timelines, staffing, equipment needs, and logistical arrangements.
  • Coordinate with vendors, suppliers, and contractors to ensure timely delivery and setup of materials and services Execution (Aligned with Community and Ops. Manager).  
  • Assistance with onsite for BSS with NDR Leaders and with orders for food through Freepick application for team buildings and meetings 
  • Address any issues or disruptions that arise during the event promptly and efficiently.  
  • Act as the main point of contact for internal stakeholders and vendors for planning, preparing and during events, addressing their needs and concerns as they arise.
  • Provide regular updates to internal stakeholders on event progress and any changes to the plan.  
  • Ensure that all event operations comply with organizational standards, industry regulations, and client specifications.  
  • Conduct post-event evaluations to assess the success of the event and identify areas for improvement.
  • Monitor and manage the event budget, including expenses for labor, equipment, and services.
  • Work with Community and Ops and Payroll teams to process invoices and reconcile expenses.  
  • Develop and implement internal communication plans that support HR initiatives, including employee engagement, DEI, talent development, and organizational changes. 
  • Manage internal communication channels (email, intranet, newsletters, town halls) to keep employees informed and connected. 
  • Collaborate with leadership and HR teams to create consistent, transparent messaging. 
  • Draft and distribute company-wide communications related to HR policies, benefits, and culture initiatives. 
  • Monitor employee feedback to optimize communication effectiveness. 

Qualifications

  • Bachelor’s degree in event management, marketing, communications, human resources or related field preferred.  
  • 1-2 years’ experience in event coordination and internal communications, preferably within HR or corporate environments. 
  • Strong leadership and team management skills.
  • Excellent organizational and multitasking abilities.
  •  Outstanding communication and interpersonal skills.
  • Ability to work under pressure and adapt to changing circumstances
  • Strong writing, editing, and interpersonal skills. 
  • Knowledge of health and safety regulations related to event operations. 
  • Must be able to work irregular hours, including evenings, weekends, and holidays, as required by event schedules.
  • Computer competency and ability to work with a computer. 
  • Prioritize multiple tasks and projects simultaneously. 
  • Exceptional written and verbal communication skills. 
  • Punctuality expected, ready to report to work on a consistent basis. 
  • Attain and maintain high performance expectations on a monthly basis. 
  • Work in a fast-paced, high-volume setting
  • Use and navigate multiple computer systems with exceptional multi-tasking skills.  
  • Remain calm and professional during difficult discussions. 
  • Take constructive feedback. 
  •  Available for full-time position, overtime eligible if classified non-exempt.
