Responsibilities

Purpose of the Role:

Establish and maintain governance for facilities operations: planning, documentation control, SOPs, maintenance plan, records management (SharePoint), and performance dashboards. Initiate and drive energy efficiency and sustainability programs under FM guidance. Manage facility helpdesk governance by monitoring completion processes, providing feedback, and verifying plan execution with domain leaders.

 

Key Responsibilities:

  • Publish and maintain the preventive maintenance plan; ensure compliance calendar is current.
  • Own document control (policies, SOPs, permits, inspections) and SharePoint site structure and access.
  • Audit CMMS data quality (RACI, backlog, SLA metrics) and produce monthly KPI dashboards.
  • Lead initiatives related to energy efficiency and sustainability programs, including tracking and reporting performance.
  • Manage facility helpdesk governance: monitor completion process, provide feedback, and verify plan execution with domain leaders.
  • Lead readiness for audits (internal/external) and ensure corrective actions are tracked to closure.
  • Support vendor onboarding and governance packs (scope, SLAs, KPIs, reporting templates).
  • Facilitate continuous improvement initiatives and lessons-learned reviews.
  • Maintain records and compliance for utility service contracts (e.g., water supply) in SharePoint

 

Decision Rights:

  • Enforce document control standards; reject non-compliant submissions.
  • Set KPI thresholds and trigger escalations for SLA breaches.
  • Prioritize audit remediation actions and publish governance calendar.

KPIs:

  • SLA breach rate (%), backlog age (days), ticket closure (%).
  • Audit readiness score, corrective actions closed (days).
  • Energy performance vs baseline (kWh), project savings.
  • Document control compliance (%).

Interfaces (Internal/External):

  • Internal: Facilities Manager, Workplace Services Lead, Building Engineer, Security Leader, Ops Supervisor, Front Desk.
  • External: All FM vendors for reporting/records; utility providers for metering data; auditors/inspectors.

Qualifications

Required Experience:

  • Minimum 2 years in facilities planning/control, audit, or operations analysis.
  • Hands-on with SharePoint, CMMS, and KPI/dashboarding tools.
  • Exposure to energy/sustainability programs in large sites.
  • Education: Bachelor’s degree in industrial engineering, Facilities Management, or related field. Equivalent technical certification with proven experience may be considered.

Shift/Availability:

Monday–Friday, 8-hour shift (e.g., 09:00AM–6:00PM). No weekend work required. Must be available for emergency escalation support.
