Overview

 

The Operations Project Assistant supports the day-to-day execution of operational activities by ensuring tasks, communications, and priorities are effectively managed and completed.

 

This role works closely with senior leadership to maintain visibility across multiple initiatives, coordinate actions, and ensure nothing falls through the cracks in a fast-paced, high-demand environment.

Responsibilities

  • Manage and coordinate daily operational activities and priorities
  • Organize and maintain calendar, meetings, and follow-ups
  • Track and ensure completion of tasks, deadlines, and deliverables
  • Monitor and flag gaps, delays, or missing information
  • Support cross-functional coordination with internal teams and external vendors
  • Assist with financial tracking (invoices, expenses, documentation)
  • Prepare and manage reports, communications, and documentation
  • Act as a central point to ensure alignment and execution across stakeholders
  • Provide administrative and logistical support to leadership
  • Proactively act when needed to keep operations moving forward 

Qualifications

Experience

 

  • 1 – 2 years in:
    • Administrative support, project coordination, or operations support roles
  • Experience in fast-paced environments (call center preferred) is a plus
  • Experience working in Logistics, Hospitality, Healthcare Administration (Preferred)

Technical Skills

  • Proficiency in:
    • Microsoft Office (especially Outlook & Excel)
  • Familiarity with tools such as:
    • Monday.com, Salesforce (preferred)
  • Strong ability to learn new systems quickly
