Overview

 

The Receptionist plays a key role in creating a welcoming, professional, and efficient workplace environment. This position manages front-desk operations, supports visitors and employees, coordinates administrative tasks, and provides day-to-day support to the People Experience team. The role requires strong customer service, organization, professionalism, and the ability to work proactively and increasingly independently.

 

6-month temporary opportunity with potential for extension based on business needs.

Responsibilities

  • Greet and assist visitors, employees, applicants, and external partners with professionalism and warmth.
  • Support visitor access by assigning and managing access cards and VIP badges and responding to related questions.
  • Manage incoming messages, emails, inquiries, and packages, routing them appropriately.
  • Write and respond to professional emails and provide clear, courteous communication to employees and visitors.
  • Manage meeting and conference room reservations using Microsoft Teams and related Microsoft 365 tools.
  • Prepare employment/work letters and other assigned administrative documentation accurately and within established deadlines.
  • Support the People Experience team with employee inquiries, interview coordination, documentation, and other administrative requests.
  • Help maintain office supplies inventory and handle procurement requests as needed.
  • Coordinate with internal departments and external vendors when required.
  • Keep the reception and surrounding office areas organized and operating efficiently.
  • Provide front-desk support during leadership and visitor visits, including reception, badge assignment, and access-card coordination.
  • Identify opportunities to assist the team and take initiative without requiring constant direction.
  • Complete assigned tasks accurately, maintain appropriate follow-up, and escalate issues when needed.

Qualifications

Required Skills/Abilities:

  • Minimum of 6 months of relevant experience in administrative support, customer service, front desk, or another people-facing environment preferred.
  • Direct receptionist experience is not required; candidates with strong transferable customer service or administrative experience may be considered.
  • Intermediate to Advanced English, with the ability to support visitors and communicate professionally in writing and verbally.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks effectively.
  • Excellent communication and interpersonal skills with a strong customer-service mindset.
  • Proactive, solution-oriented approach and ability to work independently as familiarity with the role increases.
  • Comfort working in a fast-paced, high-volume environment while remaining calm and professional.
  • Ability to receive and apply constructive feedback and collaborate effectively as part of a team.
  • Availability for the following work schedule: Monday-Friday, 10:00 AM-7:00 PM.

  • Available for full-time position, overtime eligible if classified non-exempt.
